The 2023 BMW Riders Association National Rally will be held in the “Wild and Wonderful” state of West Virginia! Canaan Valley, tucked within the Allegheny Mountains in the northeastern part of the state, is a popular destination for motorcyclists—breathtaking rides are packed with plenty of satisfying curves, relaxing stretches, and beautiful landscapes. Even better, Maryland, Pennsylvania, Washington, DC, and Virginia are all just a short ride away.
The BMWRA rally vendor and sponsorship program has two goals. First, we want to provide an opportunity for our rally attendees to interact with and purchase from vendors whose products are related to our motorcycle experience. Second, and just as important, we want to provide a positive environment for our vendors to make sales and promote their brands.
Canaan Valley Resort and Conference Center
The Canaan Valley Resort and Conference Center is located in the Allegheny Mountains of north central West Virginia at an elevation of 3,300 feet. It’s surrounded by the Monongahela National Forest and is adjacent to the Canaan Valley Wildlife Refuge and the Dolly Sods Wilderness area.
At the resort, you’ll find clean, secure, state-of-the-art spaces for seminars and the Vendor Marketplace. There are on-site restaurants (with a beautiful view from the dining room and bar), a coffee shop, a fully equipped fitness center, indoor heated and outdoor pools, a hot tub, an arcade, and a recreation center featuring bike rentals and a climbing wall. Perfect for work and play!

Free Tent Camping
Your rally participation includes three nights of primitive tent camping if you wish. If you’d like to reserve an area for your team, please email Drew Alexander at [email protected] or Jill Veverka at [email protected].
It is located at Bear Paw Lodge where there is a nearby sports bar. Food and beverages consumed in Bear Paw Lodge itself can only be provided by Canaan Resorts. Coffee service is from 6 am to 9 am Thursday to Sunday.
RV Camping
Canaan Valley Resort and Conference Center has great amenities for the RV life. There’s a brand new section in the RV park for those bringing a camping trailer.
Lodge Rooms, Cabins, and Cottages
The hotel has over 100 rooms, and arrangements have been made with several other local hotels as a backup. Many Airbnb rentals are available in the area. Hotel- or camping-type cabins are also available on site at the resort.

Try looking for lodging at The Inn at Canaan, Timberline Resort, or Black Bear Resort. We placed room blocks using “BMWRA” for inquiries. Limited rooms are available at all locations.
Also consider securing an Airbnb rental with Best of Canaan. They have been alerted that several hundred motorcycles will be coming to the area. They suggest you mention that while booking so that you don’t find yourself climbing a steep gravel drive to get to your accommodations.

Schedule
We try to set a schedule that will make the vendor area accessible to everyone and still let the vendors have an occasional break to have a little fun of their own.
Wednesday, September 13
You must load in on Wednesday since the Vendor Marketplace will be open early on Thursday. The rooms will be open at noon and will stay open until at least 5PM.
We will open to vendors just 15 minutes before each session is open for attendees.
Thursday, September 14
Official opening day for attendees.
10:00AM – Vendor Marketplace opens

Friday, September 15
This is our “long and late day.” It gives the attendees who have been out all day the opportunity to visit the vendors, and it gives vendors a morning off. I know this is a bit of a slog but you came to sell stuff and build relationships so no one can say that we weren’t open. Since this is a long day, we have “Booth Sitters” so you can take a break as needed.

Saturday, September 16
9:00AM – Vendor Marketplace opens
5:00PM – Vendor Marketplace closes to attendees; remains open for vendors to break down and load out
7:00PM – Vendor Marketplace will close to allow vendors to attend closing ceremony.

9:00AM – With prior arrangements, vendor area can be re-opened for final load-out if necessary

- The cost for a single 10×10 booth is $200. Additional adjacent booths are available for $100 each.
– that includes regular admission to the rally for TWO people.
– additional admissions are available for $60 each. - You are welcome to hang small banners or signs in the vendor area as long as it doesn’t conflict with an event or another vendor. [You can’t hang your banner behind another vendor’s booth.]
- The room will be locked outside of open hours. Our insurance does not cover your merchandise.
- If you’d like a break during the day, we have “booth sitters” to watch your goods while you are away.
- You are responsible for local licensing and taxes (we didn’t have any issues with this last year).
- Each booth comes with two 6′ tables and two chairs. Extra tables and chairs may be available with prior discussion.
- The vendor building has electricity along the walls and at some points out on the floor. Of course this is available to vendors at no cost but you should bring an extension cord.
- Outdoor booths have limited access to electricity and water, but prior arrangements will be needed. You should also plan to bring your own extension cords and/or hose.
- Our crystal ball is no better than yours. In the event that the rally has to be cancelled for any reason (including invasion by space aliens), A FULL REFUND WILL BE ISSUED. If the rally happens, there will be no refunds.

Sponsorship is a great way to stand out from the crowd. It shows your support for the event and the attendees. It’s a great opportunity to directly interact with customers and to reinforce your image in the minds of the folks who buy your products.
Your ideas are often better than ours. If you have an idea for a promotion or tie-in event please let us know. One year, for example, Wunderlich sponsored a tour of their facilities and a lunch for our attendees on Friday. We’d like to help make your idea a reality.

A product, service, or trip donation could make your brand pretty popular among our attendees! Grand prizes in the past have included a Beach’s European Motorcycle Tour, tires from Dunlop, and BMW gear from Bob’s BMW. Each Raffle Sponsor will be recognized in the rally program booklet, online on our rally website page and Facebook page and will receive cheers from the stage during the giveaways Saturday evening.

Morning Coffee at Bear Paw Lodge
The Coffee Sponsor can display their promotional material and have a representative present to answer questions about their products. We suggest banners with the sponsor’s logo be hung prominently. Each Coffee Sponsor will be recognized in the rally program booklet and online on our rally website page and Facebook page. The cost for Coffee Sponsorship for one morning is $125. Seminars – open
Seminars are a key part of the event and are well attended. We use AV equipment in many places during the event including multiple seminars and the evening entertainment events. The Seminar Sponsor should hang logo banners at any or all of these events and the sponsor will be recognized in the rally program and announced at each event. This is a sponsorship with potential for exposure all over the rally. The Seminar Sponsor will be recognized in the rally program booklet and online on our rally website page and Facebook page. The cost is $150. This is also a fraction of the cost for this item.

Shuttle Van Sponsors
Since the resort spreads across over 2 miles, we are looking for sponsors to help offset the cost
of shuttling attendees from Bear Paw to several locations on the grounds, RV campgrounds, cabins, and the main hotel.

Volunteer Gift – open
We have over a hundred volunteers at our rallies. Folks love to volunteer because it’s a way to participate in the event and a great way to meet people. We rent a software application to sign folks up and we give a small gift to each volunteer. Last year it was a “buff” with the rally and BMWRA logos. The sponsor will be recognized in the rally program and during the closing ceremony. In addition, a sponsor card will be included with each gift. The Volunteer Sign Up and Gift Sponsor will be recognized in the rally program booklet and online on our rally info and Facebook pages. The Volunteer Sign Up & Gift sponsorship is $250.

While COVID-era risks to participants is minimal as of this writing, everyone’s health and safety are still important to us! For our gathering, we will follow CDC public health safety guidelines as well as applicable federal, state, and local laws.
Particularly in the indoor vendor areas, gathering in groups may increase the risk of exposure to viruses. Before you leave home, we encourage you to…

• Get up-to-date with your COVID vaccines and booster shots.
• Test regularly as the most effective way to detect COVID and isolate if you are infected.
• Review current CDC general and COVID-related guidelines for travel
